Privacy Policy
Kingdom Connect ("we", "our", or "us") operates an online directory listing churches and events across the United Kingdom.
For the purposes of UK data protection law, Kingdom Connect is the data controller of the personal data you provide to us.
This Privacy Policy explains how we collect, use, store, and protect your personal data, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy should be read alongside our Cookie Policy.
1. What Information We Collect
1.1 Information You Provide Directly
- Name
- Email address
- Organisation or church details
- Event details and location information
- Any information submitted via forms or email correspondence
1.2 Automatically Collected Information
- IP address
- Browser type and device information
- Usage data (pages visited, time spent, referral source)
- Cookie data (see Cookie Policy)
Analytics data is only collected where you have consented to analytics cookies.
1.3 Location Data (Optional)
If you choose to use the "Use my location" feature on directory pages, your device's approximate coordinates are used only to sort nearby listings by distance. This data is processed in your browser and is not sent to our servers or stored by us. It is held temporarily in browser session storage and is cleared when your session ends. You can remove it at any time using the location clear control.
1.4 Church and Circle Announcements
When churches or ministry teams publish announcements through Kingdom Connect Circles, we process announcement content and publication details to display that content on relevant church and community pages.
- Announcement content: title, body text, optional media, and publish/expiry dates
- Account metadata: church or circle association and publisher account identifier
- Visibility controls: whether content is public or restricted to signed-in users in specific community contexts
We may also process aggregated, non-identifying impression counts (for example daily view totals for listings and announcement surfaces) to understand platform performance. These aggregates do not include names, profiles, email addresses, or direct contact details.
2. How We Use Your Information
We use your personal data to:
- Review, process, and publish directory listings
- Manage user submissions or accounts
- Respond to enquiries
- Operate circles and church announcement publishing features
- Maintain website security and prevent misuse
- Improve our website and services
- Send optional updates or newsletters (where you have given consent)
We do not use your data for automated decision-making or profiling.
3. Legal Bases for Processing
Under UK GDPR, we rely on the following lawful bases:
Contract
Where processing is necessary to publish and manage listings and provide requested services.
Consent
Where you have actively opted in, including receiving newsletters or marketing communications, and allowing analytics and non-essential cookies. You may withdraw consent at any time.
Location data is processed on the basis of your consent, given when you choose to enable location in your browser. You can withdraw this at any time by clearing browser location/session data and denying location access.
Legitimate Interests
Where processing is necessary for website security, preventing fraud or misuse, running core community functionality (including moderation), and measuring aggregated service usage that does not identify individuals. We ensure these interests do not override your rights and freedoms.
4. Who We Share Data With
We do not sell your personal data. We may share data with trusted service providers where necessary, including:
- Website hosting providers
- Cloud storage providers
- Email marketing platforms (for consented communications)
- Analytics providers (only where consent is given)
All third-party providers are required to process data securely and in accordance with UK data protection law.
5. International Data Transfers
Some of our service providers (such as analytics or email platforms) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as UK International Data Transfer Agreements (IDTAs) or adequacy regulations approved by the UK Government.
6. How Long We Keep Your Data
We retain personal data only for as long as necessary for the purposes for which it was collected:
- Church and event listings: While active or until removal is requested
- Church and circle announcements: While active and for a limited archive period, unless removed earlier by the publisher or church admin
- Enquiries: Up to 24 months after last contact
- Marketing emails: Until you unsubscribe or after 24 months of inactivity
- Analytics data: In accordance with cookie consent settings (currently up to 26 months)
- Aggregated impression counts: Up to 24 months for internal reporting and service improvement
We may retain limited data where legally required (for example for dispute resolution or regulatory compliance).
7. Your Rights
Under UK GDPR, you have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request erasure (right to be forgotten)
- Restrict processing
- Object to processing based on legitimate interests
- Withdraw consent at any time
- Request data portability (where applicable)
- Lodge a complaint with the Information Commissioner's Office (ICO)
You can contact the ICO at ico.org.uk or by telephone on 0303 123 1113. We encourage you to contact us first so we can resolve concerns quickly.
8. Security
We implement appropriate technical and organisational measures to protect your data, including SSL encryption, secure hosting environments, restricted administrative access, and regular system updates. However, no internet transmission is completely secure and we cannot guarantee absolute security.
9. Third-Party Links
Our website may contain links to third-party websites. We are not responsible for their privacy practices. We recommend reviewing their privacy policies before submitting personal data.
